Task Status Overview Widget

A donut chart of your tasks across four workflow categories - Not Started, Active, Completed, Closed - with clickable segments that open the Dashboard Tasks modal filtered to that status.

The Task Status Overview widget is a donut chart showing how your tasks are distributed across the four workflow categories. Each segment is clickable - open the Dashboard Tasks modal filtered to that status. A legend below the chart shows the count and percentage for each category, plus a clickable total in the centre.

This widget is part of the customisable Dashboard layout. To show, hide, or move it, see Dashboard Layout.

Status categories come from your Space

The widget uses your active Space's status configuration to group tasks.

The four workflow categories

PrimeTask's status system uses four workflow categories to group statuses regardless of how you've named them:

CategoryWhat it representsDefault status names
Not StartedBacklog, to-do, queued"To Do", "Backlog", "Open", "New"
ActiveCurrently being worked on"In Progress", "Doing", "Active"
CompletedDone"Done", "Completed", "Shipped"
ClosedCancelled, won't do, duplicate"Cancelled", "Won't Do", "Closed"

The donut shows the share of your tasks in each category. If you've customised your statuses, the chart still works - every status maps to one of the four categories, and the chart counts accordingly. See Custom Statuses & Priorities.

Use this widget to spot imbalance

A large Not Started group or small Completed group can show where your workflow needs attention.

Things worth knowing

The chart updates live

Counts recalculate immediately as tasks change status. Mark a task complete and the Completed segment grows; the Not Started or Active segment shrinks accordingly.

Empty Spaces show 0% across all categories

When you have no tasks, every segment shows 0 and the chart is collapsed visually. As soon as you create a task, the chart populates.

Tasks are counted across the active Space

Every task in your active Space contributes - including subtasks, project tasks, CRM tasks. Switch Spaces and the chart recalculates.

Categories are defined by your status configuration

Each status in your Space is mapped to one of the four workflow categories at creation time. To change a status's category, edit the status in Settings → Category Management - see Category Management Settings.

Category changes affect reporting

Changing a status category changes how Dashboard and task summaries group those tasks.

The widget complements the Stat Cards

The Stat Cards above the widget grid show specific top-level numbers (Total, Completed, Active, Overdue). The donut here gives you the distribution across all four categories - useful for spotting imbalance (lots of Not Started, few Completed, etc.).

Common questions

"Why is 'In Review' counted as Active?"

The In Review status defaults to the Active workflow category. Tasks in any active-category status are counted as Active in the chart. To change the category mapping, edit the status definition.

"Can I see a per-status breakdown instead of by category?"

Not in this widget - it's specifically the four-category view. For per-status counts, use the Tasks page with grouping by status - see Tasks Overview.

"How is this different from the Stat Cards?"

Stat Cards show specific summaries (Total, Completed, Active, Overdue). The Status Overview widget shows the distribution across all four categories - a different angle on the same data.

"How do I hide this widget?"

Open the Layout Editor from the Dashboard Header and toggle Task Status Overview off. See Dashboard Layout.
