Profile
Your name, username, and avatar - the identity PrimeTask uses for you across every Space, task, and CRM record.
Profile is the first card in Settings and the first thing every new user should set up. It controls the three pieces of identity that appear wherever you show up in PrimeTask: your full name, your @username, and your avatar. These show on tasks you're assigned to, CRM activities you log, Spaces you're a member of, and anywhere a collaborator needs to see who did what.
When you save profile changes, PrimeTask also updates your member record in every Space you're a member of, so teammates collaborating with you in a shared Space will see your updated identity the next time the shared Space syncs.

Profile is the foundation every other assignment picker, mention list, and activity log draws from. Spend thirty seconds setting it now - a real name, a short username, and an avatar - and every future task, project, and CRM record shows you correctly.

How to open Profile
- Sidebar (default): Open Settings from the sidebar - Profile is the first card on the page.
- Settings search: Open Settings and type profile, name, or avatar.
- Command palette: Press ⌘+K (or Ctrl+K), type profile, and pick the entry.
Things worth knowing
Your profile is local to this computer
Your name, username, and avatar are stored on the computer you set them on. They are not automatically synced between your own devices - if you install PrimeTask on a second computer, you'll need to set your profile there separately.
This is true regardless of whether you sync your data via iCloud or File Sync. Both sync methods carry your tasks, projects, CRM, and other Space data - but your local profile (name, username, avatar) stays on the device where you set it.
Teammates in shared Spaces see your updated identity
When you save a profile change, PrimeTask also updates your member record in every Space you're a member of. The member record carries your name, username, and avatar inside the Space data, so it travels with the Space.
The practical effect:
- If a Space is shared with teammates (collaborative File Sync), your teammates will see your updated identity in that Space - on tasks you're assigned to, in mention lists, in the Space member panel - the next time the shared Space syncs to their machine.
- If a Space is personal (just you), there are no teammates, so the member-record update doesn't matter for collaboration.

Don't expect profile to roam across your own devices
PrimeTask's sync is for the contents of your Spaces (tasks, projects, CRM, notes), not for your local app preferences. Your profile is a local preference. If you want PrimeTask to look the same on a second computer, set the profile there too.
Teammates may take a moment to see the change
When you change your profile, the updated member record only reaches teammates after the shared Space syncs to their device. With File Sync, that usually takes under a minute once both sides are online. If they don't see it after a fresh sync, see File Sync Settings for troubleshooting.
Changes aren't saved automatically
Profile is one of the few settings cards that does not auto-save. You can freely type a new name, try a different avatar, even pick a few options in the library - nothing commits until you click Save Changes. This is deliberate: it lets you experiment before committing to anything.
Unsaved changes are protected
If you try to collapse the Profile card with unsaved edits, PrimeTask asks whether you want to Save or Discard. You can't accidentally lose work just by clicking somewhere else.
The avatar library keeps your history
Every avatar you upload is kept in a library so you can switch back later without re-uploading. Each avatar shows whether it's the one currently in use, whether it's the one you're picking as a pending change, or whether it's just sitting in the library available to reuse. You can also delete any library avatar you no longer want - except the one you're currently using, which you have to switch away from before removing.
Use Initials when you don't want to upload an image
If you'd rather not use a photo, the Use Initials button generates a simple initials-based avatar from your full name. It's clean, it's distinct from the default placeholder, and it's the right choice if you're camera-shy or just want PrimeTask to look tidy in screenshots without handing over a photo.
Lock Screen - only when a PIN is set
If you've set up a PIN (see Security), Profile gets an extra Lock Screen button that locks PrimeTask immediately. One click, you're out, and PrimeTask demands the PIN on next access. It's the "I'm stepping away right now" button.
Without a PIN set up, Lock Screen isn't available - set one up from Security first.
Common questions
"I just installed PrimeTask. What should I set first?"
Open the Profile card, type your full name, type a short username (or leave the default), pick an avatar (upload or Use Initials), and click Save Changes. Everything else in the app - assignees, mentions, Space members, CRM activity attribution - now uses what you just set.
"I want to try a different avatar but I'm not sure yet."
Open the Profile card, click Library, and click any avatar you've previously uploaded. It'll show as a pending change but won't commit until you hit Save Changes. Try a few. If you change your mind, just collapse the card and pick Discard - you're back where you started.
"I want to upload a new avatar."
Hover your current avatar and click to open the file picker, pick an image, and it appears as a pending change. Click Save Changes to commit.
"I want to clean up old avatars I don't use anymore."
Open the Profile card, click Library, and remove any avatar you're not using. The one you're currently using is protected - if you want to delete it, switch to a different avatar first, save, then come back and remove the old one.
"My collaborators aren't seeing my new avatar."
This applies to shared Spaces (collaborative File Sync - a Pro feature). Check in order:
"I set up PrimeTask on a second computer and my profile is empty."
Profile is local to each computer. PrimeTask doesn't automatically copy your name, username, or avatar from one device to another - you need to set them on the new computer. Your tasks, projects, and other Space data sync via iCloud or File Sync if you've set them up, but the profile fields are a local preference.
"Can I have a different profile in my Work Space vs my Personal Space?"
No. Profile is one identity used everywhere on this computer. If you want separation between work and personal contexts, use different Spaces - your profile stays the same, but the data (tasks, projects, CRM) stays isolated. See Spaces Settings.
"I set up a PIN but I don't see a Lock Screen button."
Make sure the PIN is actually enabled. Open Security and confirm it shows PIN protection as active. If it's on and you still don't see Lock Screen, collapse and re-expand the Profile card to refresh its state.
