Planned Occurrences
Preview the upcoming repeats of your recurring tasks across the Calendar as read-only entries, so you can plan and block time around them before they come round.
A recurring task normally shows only its current occurrence on the Calendar. The next one appears once you complete the current one, so you cannot see where a weekly or monthly task falls in the weeks ahead. Planned occurrences fill that gap: turn them on and every recurring task appears on all its upcoming dates, so you can see your repeating commitments laid out and plan around them.
These planned entries are previews only. They carry the real task's name and details so you know what is coming, but they are not real tasks yet, and they never change your data.
What you can do
See recurring tasks ahead of time
view every repeating task on all its upcoming dates across Month, Week, and Day
Plan around your routines
block time for one-off work while keeping your regular commitments in view
Open the source task
click a preview to jump straight to the real recurring task behind it
Keep it out of the way
previews stay off until you switch them on, and turn off again in one click
How to turn on planned occurrences
Planned occurrences are controlled from the Calendar filters:
- Calendar page: Open Calendar, choose Filters, and turn on Show planned occurrences in the recurring task options.
- From any Calendar view: Use the same Filters control while viewing Month, Week, or Day.
They are off by default. Turning the option off hides all previews again. See Calendar Filters.
Previews appear across Month, Week, and Day
They do not appear in Agenda View or the Day Planner, which stay focused on your real tasks.
Things worth knowing
Planned entries are read-only
You can see a preview and open the task behind it, but you cannot drag it, reschedule it, complete it, or right-click it. To change when a task repeats, edit the recurring task itself. See Recurring Tasks.
They never change your data or your counts
Previews are shown only while the option is on. They are never saved, never sent to Apple Calendar, and never counted as tasks in your day counts or in Reports. They exist purely to help you plan.
The preview becomes real as you go
As you complete each occurrence, the next real task takes the place of its preview, so you never see a duplicate. Deleting a single occurrence and keeping the series works the same way: the recurrence carries on and its previews continue.
They stay easy to tell apart from your real tasks
Planned entries are shown so you can tell at a glance which items are real tasks and which are previews. Clicking one opens the real recurring task it comes from, with a short reminder that it is a planned entry.
It works for every kind of recurring task
Any recurring task can be previewed, including CRM tasks. The option covers your whole Calendar, not one project or list.
Common questions
"Why do I suddenly see the same recurring task on lots of future dates?"
You have Show planned occurrences turned on. Those future entries are read-only previews of the repeats to come. Turn the option off in Calendar filters to hide them.
"Can I move or edit a planned occurrence?"
No. Previews are read-only. Click one to open the real recurring task, then change the task or its recurrence there. See Recurring Tasks.
"Will these previews add extra tasks or affect my reports?"
No. Previews are never saved and are never counted. They do not change task counts, Reports, or anything synced to Apple Calendar.
"Why can I no longer see the previews?"
Either Show planned occurrences was turned off, or the recurring task no longer has an upcoming occurrence to project from. Completing or deleting occurrences keeps the series going, so previews normally continue.
