Setup Wizard

The Master Setup Wizard configures your workspace in a few minutes - profile, theme, Space, sync, dashboard, and optional demo data. Available on first launch and from Settings any time.

The Master Setup Wizard is how PrimeTask gets configured to fit you. It runs on your first launch with a short sequence of questions - what's your role, what does your workspace look like, how do you want the dashboard, do you want demo data to explore with - and it sets everything up behind you.

You don't have to get it right the first time. You can re-run the Wizard from Settings any time your situation changes - new role, new Space, new way of working. It adapts to the choices you make, skipping steps you don't need.

The Wizard adapts to you

The Wizard shows only the steps that match your profile and platform. A Personal user sees fewer steps than a Power User; Windows users don't see macOS-only steps; re-runs skip the global settings you already picked.

When the Wizard runs

First launch

The first time you open PrimeTask, the Wizard opens automatically. Walk through the steps; by the end your workspace is ready.

Re-run from Settings

Open Settings → Setup Wizard to run it again. Re-runs skip the global settings you already configured (theme, date/time) so you can jump straight to the parts that matter - picking a new profile, creating another Space, changing your dashboard layout.

Pick a profile

The first important choice is your profile. It shapes every step that follows - which features are highlighted, which demo data is relevant, which templates seed your workspace. There are ten:

What the Wizard sets up

Theme and date preferences

Light, dark, or system theme. Date format, time format, and week start day.

Your Workspace

Creates or updates a Space to work in. You name it and pick a sync mode - local only, iCloud, or File Sync. See Sync Modes Overview.

Demo data or clean start

Choose Demo Data to start with a filled-out workspace (sample tasks, projects, contacts, notes) so you can explore the features. Choose a clean start to build from scratch. See Demo Data Settings.

Workflow seed

If your profile involves projects, the Wizard seeds a workflow - tasks, a project, goals, milestones - appropriate to the role. You can edit or delete any of this after.

Client Management

For profiles that use CRM (Freelancer, Sales, Support & Ops, Power User), the Wizard offers to enable PrimeCRM for the Space. PrimeCRM requires Pro - see License Settings.

Sync and collaboration

Pick a sync mode for the Space. See Creating and Managing Spaces for the full setup story.

Dashboard layout

The Wizard includes one of four pre-configured Dashboard presets:

  • Minimal - just the essentials; stay focused
  • Balanced - projects, tasks, and insights
  • Productivity - tuned for active work management
  • Full - every widget, maximum context

You can customise the layout any time after. See Dashboard Layout.

Advanced Features

Power User and Software Developer profiles get an Advanced Features step where you can enable extra capabilities. Advanced Features require Pro.

Review

Before the Wizard applies your choices, the Review step shows a summary. If anything's off, step back and fix it.

Final screen with a summary of what was set up, ready for you to start working.

Start with Demo Data if you're new

A new PrimeTask install with Demo Data has dozens of tasks, a couple of projects, and a few contacts in place - enough to click around and feel the product without building anything first. Delete it later if you want a clean slate, or keep it as a sandbox.

  • Available to everyone - Welcome, Appearance, Date & Time, Choose Profile, Your Workspace, Demo Data, Workflow, First Tasks, Project, Goals, Milestones, Link Entities, Sync, Dashboard Layout, Review, Completion.
  • Pro only - Client Management (PrimeCRM) and Advanced Features steps. These appear when your profile asks for them and your license includes them.

Things worth knowing

Nothing is applied until Review

Every choice you make in the Wizard lives in preview state until the Review step. You can step back, change any setting, or cancel without anything happening to your workspace.

The Wizard is one of three onboarding tools

The Wizard configures your workspace. The App Tour points things out in the real UI. The Interactive Tutorial walks you through doing things yourself with completion tracking. Use whichever - or all three - fits how you like to learn.

You can re-run whenever

Re-running the Wizard doesn't reset your data. It adds the new Space you configure, adjusts the dashboard if you pick a new preset, and leaves your existing tasks, projects, and CRM untouched.

Theme and time settings are skipped on re-runs

Because you already configured theme and date/time once, re-runs skip those two steps - unless you want to change them, in which case they live in Profile Settings and the appearance area.

Demo data is easy to remove

Demo data imports cleanly and can be removed in one step from Demo Data Settings. Try it out without worrying about how to clean up after.

The Wizard runs per install, not per Space

Re-running creates a new Space or updates the active one, but each device maintains its own workspace state. Sync a Space to bring its data to another device.

Common questions

"Do I have to run the Wizard?"

The Wizard runs automatically on first launch. You can skip through it, pick a profile and move on, or go as deep as you want. There's no requirement to complete every step.

"Can I change my profile later?"

Yes. Re-run the Wizard from Settings and pick a different profile. Your existing data is safe; the new profile changes what the Wizard offers to set up next.

"What happens to my current data if I re-run?"

Re-running doesn't delete data. It adds to or adjusts what's there based on your new choices. If you want a clean slate, create a new Space instead of modifying your existing one.

"Which Dashboard preset should I pick?"

Minimal to stay focused, Balanced for most people, Productivity for active task work, Full if you like lots of context. You can customise later - see Dashboard Layout.

"Do I need Pro to run the Wizard?"

No. The Wizard is available on every license. A couple of specific steps (Client Management, Advanced Features) require Pro and appear only when your profile asks for them.

"Can I cancel halfway through?"

Yes. Closing the Wizard before Review doesn't apply any settings. Nothing changes in your workspace until you finish.
