PrimeFlow Search and Filters

Use PrimeFlow search, Quick Filters, and Advanced Filters to narrow a canvas to the nodes you need right now.

PrimeFlow canvases can become large as projects, tasks, notes, files, media, CRM records, and mind maps grow together. Search and filters help you focus on the part of the canvas you need without deleting or changing anything.

Search and filters affect the current canvas view. Your nodes, records, notes, files, and connections remain saved.

Filters change what you are viewing

Search and filters narrow the canvas view. They do not delete nodes or remove records from PrimeTask.

Filter before reorganizing

On a large canvas, search or filter first so you can find the nodes that matter before moving, connecting, or arranging them.

How to open search and filters

  • Main navigation: Open PrimeFlow.
  • PrimeFlow header: Use Search nodes by title, Quick Filters, or Advanced Filters from the PrimeFlow header.
  • Command palette: Press +K on macOS or Ctrl+K on Windows, search for PrimeFlow, then use the search and filter controls from the PrimeFlow header.

Search nodes by title

Use Search nodes by title to find nodes by their main visible name, title, or label.

Search is useful when you know the name of a task, project, note, topic, file, media item, contact, company, or activity and want to narrow the canvas quickly.

Clear the search text to return matching back to the full canvas view, unless other filters are still active.

Search works with filters

Search, Quick Filters, and Advanced Filters can be active at the same time. A node must match all active conditions to stay in view.

Quick Filters

Use Quick Filters to narrow the canvas by broad node group.

Quick Filters are based on the kinds of nodes currently present on the canvas. Depending on what the canvas contains, you may see:

Choose a Quick Filter to include that node group. Choose it again to remove it.

Quick Filters only offer groups that exist

If a canvas has no activity nodes, the Activities quick filter is not offered for that canvas.

Advanced Filters

Use Advanced Filters when you need a more specific condition than a node group.

To add an Advanced Filter:

Choose a node type.

Choose an operator such as Is, Is not, Contains, Starts with, or Ends with.

Enter or choose the value.

Choose Add Filter.

Active filters are listed inside Advanced Filters. Choose an active filter to remove it.

Combine Quick Filters with Advanced Filters to see only matching results

Advanced Filters narrow the nodes of one type. For example, "Tasks · Status is In Progress" hides task nodes that are not in progress, but project, note, or media nodes on the same canvas stay visible. To see only the matching tasks alone, also turn on the Tasks Quick Filter. The same pattern applies to any entity type - pair the Quick Filter and the Advanced Filter to focus the canvas on a single entity.

Advanced Filters adapt to the node types currently present on the canvas.

For task status and priority, PrimeFlow uses the status and priority options from the active Space.

CRM filters require CRM nodes

Contact, company, and activity filters are available when those node types exist on the current canvas. Advanced CRM nodes are part of the Pro tier.

What happens to connections

When search or filters narrow the canvas, PrimeFlow keeps connections visible only when both connected nodes are still in the current result.

This keeps the filtered view focused on the nodes that match your current search and filter choices.

Things worth knowing

Search and filters are saved per canvas

PrimeFlow remembers the search text and filters for each canvas. When you switch canvases, the next canvas can have its own search and filter state.

Filters are additive

Search, Quick Filters, and Advanced Filters work together. If the canvas looks too narrow, clear the search text, remove Quick Filters, or remove Advanced Filters.

Filters do not change the underlying records

Filtering a task, project, contact, company, activity, note, file, or media node out of view does not change or delete that item.

Advanced Filters depend on node data

Some filters work best on nodes that are connected to full PrimeTask records, such as task, project, contact, company, and activity nodes.

Common questions

"Why did some connections disappear while filtering?"

Connections stay in view only when both connected nodes match the current search and filters.

"Why do I not see a Quick Filter for a node group?"

Quick Filters are based on the node groups currently present on the canvas.

"How do I remove an Advanced Filter?"

Open Advanced Filters, then choose the active filter you want to remove.

"Are search and filters Pro-only?"

No. PrimeFlow search and filtering are available on every PrimeTask license. Some node types that can be filtered require Pro.

"Can I search inside every field on every node?"

No. The main search looks at the node's main title, name, or label. Use Advanced Filters for supported fields.
