Reports Filters and Export

Control exactly what the Reports page shows - time range, category toggles, and bypass options - and export any tab as a CSV or PDF.

Every tab in Reports listens to the filter suite at the top of the page. Filters let you scope what's included, by time and by category, and the bypass toggles let you escape the time window when you need the full picture. When the view looks right, Export gives you the current tab as a CSV or PDF.

Your filter choices are remembered per Space, so each Space keeps its own preferred view.

Filters are saved per Space

Each Space keeps its own filter state. Switch Spaces and the view you had in that Space is restored.

What you can do

Pick a time range

for the whole page.

Toggle task categories

Personal, Project, CRM - on or off.

Toggle project states

include or exclude Active and Archived projects.

Toggle CRM categories

Contacts, Companies, Activities - on or off.

Bypass the time range

for projects or tasks when you want the full set.

Keep filters per Space

automatically.

Export the current tab

as a CSV or PDF.

Time range

The time range controls every number on the page:

  • Last 7 days
  • Last 30 days (default)
  • Last 90 days
  • Last 6 months
  • Last year
  • All time

For tasks and projects, the time range matches when the record was created. For activities, it matches when the activity was logged.

Some panels ignore the time range on purpose:

  • The this month vs last month comparison on the CRM Analytics tab always uses calendar months.
  • The activity trend on CRM Analytics always shows the last two weeks.
  • The revenue by month chart on Sales Performance always shows the last several months.

These are intentional - the comparison and trend panels are most useful when they're stable.

Use bypass when the time window hides context

A 30-day window is great for recent work, but can hide long-running projects created earlier. Flip the bypass toggle to include them without losing your other filters.

Task category toggles

Three toggles - Personal, Project, CRM - control which task types count toward the totals on the Tasks and Projects tabs. Turn any of them off to focus the view on the rest.

Project state toggles

Two toggles - Active and Archived - control which projects appear on the Projects tab.

CRM category toggles

Three toggles - Contacts, Companies, Activities - control which CRM data counts on the CRM Analytics and Sales Performance tabs. Turn any off to narrow the view.

CRM toggles only apply when PrimeCRM is enabled for the active Space. See CRM Settings.

Bypass the time range

Two extra switches handle the cases where the time range hides more than it reveals:

  • Bypass time range for projects - include every project regardless of creation date. Useful when long-running projects would otherwise fall out of the window.
  • Bypass time range for tasks - include every task regardless of creation date. Useful when you want the big picture rather than a period.

Bypass toggles stack on top of the category toggles - turning a category off still hides it even when bypass is on.

Filters are saved per Space

Your filter choices are saved per Space automatically. Switch Spaces, and the view you had in that Space is restored. This lets a Work Space carry a different default than a Personal Space or a Client Space.

Export the current tab as CSV or PDF

Use the Export action at the top of the page, then pick CSV or PDF. PrimeTask saves the current tab as a file named for the section and the current date. The PDF lays your figures out with clean headings, tables, and page numbers, and picks up your date and time settings from Settings.

The export reflects current filters

The exported file mirrors what's on screen. Set the time range, toggles, and tab the way you want before exporting.

What each export contains

Overview export - consolidated totals for tasks, projects, and CRM (if enabled).

Tasks export

  • Total, completed, overdue tasks
  • Completion rate
  • Tasks by status
  • Tasks by priority
  • Tasks by category (Personal, Project, CRM)

Projects export

  • Total, active, archived, and completed projects
  • Project task stats - total, completed, overdue, completion rate
  • Project tasks by status
  • Project tasks by priority

CRM Analytics export

  • Total contacts, companies, activities
  • Activities this month and last month
  • Contacts by source
  • Companies by industry
  • Activity trend

Sales Performance export

  • Calls - total, answer rate, average duration
  • Emails - total, response rate, average response time
  • Meetings - total, upcoming
  • Demos - total, conversion rate
  • Proposals - total, value, win rate
  • Revenue by month

Things worth knowing

Every tab has its own export

Export always saves the tab you're looking at. Switch to the tab you want first.

CSV or PDF

Reports exports as CSV or PDF. Spreadsheet apps open the CSV directly. The PDF lays out the same figures with headings, tables, and page numbers, so it prints and shares cleanly. For broader bulk data exports of the whole workspace, see Data Management.

A Reports export is scoped to the current tab. When you want every task, project, contact, and company in one set of files, use Data Management.

Filters don't re-fetch data

Changing filters doesn't hit any data source - everything re-aggregates from what's already loaded. You can explore different time ranges and categories without waiting.

The export reflects current filters

The exported file mirrors what's on screen - so your time range and category toggles determine what the file contains. Set the view before exporting.

CRM toggles hide the tabs' content, not the tabs

Turning off a CRM category dims its data on the CRM Analytics and Sales Performance tabs. The tabs themselves appear when CRM is enabled for the Space.

Common questions

"Do my filter choices follow me to another Space?"

No. Each Space keeps its own filter state so you can have different defaults per Space.

"Why do the CRM month comparison and the activity trend ignore my time range?"

Those panels are designed to be stable. Calendar month comparison and a fixed two-week trend are more useful than moving targets when you review performance.

"Can I export as JSON or Excel?"

Reports exports as CSV or PDF. Open the CSV in Excel or Numbers if you want to work with it there, or save as PDF for a page-formatted view you can share or print.

"How do I export the whole workspace, not just a Reports tab?"

Use Data Management for the broader export surface - tasks, projects, contacts, companies, and CRM tasks.

"Why are the CRM toggles missing?"

CRM toggles and the CRM-related tabs appear only when PrimeCRM is enabled for the Space. See CRM Settings.
