Board View

A drag-and-drop kanban board with five grouping modes, three card densities, custom boards with built-in templates, and list mapping - all for visual task workflow management.

Board View presents your tasks as cards arranged in columns, where each column represents a status, priority, project, assignee, or custom list. Drag a task from one column to another to update its field instantly - move a card from To Do to In Progress and the task's status changes the moment you drop it.

The basic board (grouping by status, priority, project, or assignee) works on every PrimeTask license. Custom Kanban Boards - custom columns with field mapping, built-in templates, and save-as-template - are a Pro feature.

How to open Board View

  • View switcher: Click the Board option in the view switcher on the Tasks page toolbar.
  • Saved view: Load a saved view that was captured while in Board View. See Task Filters & Sorting.

Things worth knowing

Five grouping modes

The columns on the board are determined by which field you're grouping by:

Each column header shows the column name and the count of tasks it contains. For project grouping, the header also shows the project's overall progress.

Status grouping is the most natural starting point

If you're used to Kanban boards from tools like Trello or Jira, Status grouping (To Do → In Progress → Done) is what you expect. Try Priority or Project grouping when you want to answer different questions - "what's most urgent?" or "which project has the most work?".

Adding tasks directly in a column

Each column has an Add task button at the bottom. Click it, type a name, and press Enter. The new task inherits the column's field value - if you add a task in the High Priority column while grouping by priority, the task is created with High priority automatically.

Card display - what you see on each card

Every task card shows key information at a glance:

  • Task name and description preview
  • Status and priority indicators
  • Assignee avatars
  • Due date (with overdue indication)
  • Tags
  • Subtask and checklist completion progress
  • Attachment indicator (if files are attached)
  • Cover image (if set)
  • Custom field values (depends on card density)
  • CRM link indicator (if linked to a contact or company)
  • Pin indicator (pinned tasks appear at the top of their column)

Three card densities

You can control how much detail each card shows:

  • Compact - minimal height, just the task name and essential indicators. Best when you have many tasks and want to see the big picture.
  • Cozy (default) - balanced display with name, description preview, assignees, dates, tags, and progress. The sweet spot for most people.
  • Expanded - larger cards with full description preview, all custom fields inline, and complete tag and checklist previews. Best when you need to see everything without clicking into each task.

Card density is saved with your saved views - different views can use different densities.

Inline editing on cards

You can change a task's status, priority, and assignees directly from the card without opening the task detail page. Click the relevant field on the card to open a quick picker.

For deeper edits (description, dates, subtasks, attachments, custom fields), click the card to open its Task Details Page.

Right-click any card for quick actions: open, edit, duplicate, delete, pin/unpin, mark complete, copy a primetask:// deep link, create a subtask, and more.

Drag-and-drop - how it works

Between columns: Drag a card from one column to another. The field that matches the grouping mode changes to the target column's value. The change saves instantly - no confirmation needed.

Within a column: Drag a card up or down to reorder it. The order is preserved across sessions.

Special cases:

  • Project grouping: Dropping a task into a project's Completed section changes the task's status to a complete status. Dropping into the Active section sets it to an active status.
  • Custom Lists with mapping: When a list has field mappings (status, priority, tags), dropping a task into that list applies all the mapped values at once. Tags are merged with existing tags, not replaced.

Custom Kanban Boards Pro

Custom Kanban Boards let you define your own column structure instead of using the standard Status/Priority/Project/Assignee grouping. Each custom board has named columns (called "lists") that you define, and each list can optionally map to status, priority, and tag values - so dropping a task into a list can update multiple fields at once.

Managing boards

The Board Management panel lets you:

  • Create a new board - from a built-in template or from scratch
  • Switch between boards - pick which board is currently active
  • Save a board as a reusable template - capture your board's column structure for use in other Spaces
  • Rename or delete boards and custom templates

PrimeTask ships with a library of templates organised by category:

Getting Started - Blank Board (single column), Simple Kanban (To Do → In Progress → Done)

Productivity - Getting Things Done (GTD) with David Allen's workflow stages, Eisenhower Matrix with the four urgency/importance quadrants, Weekly Planner with columns for each day

Pick a template that matches your workflow, name your board, and you're ready to go. You can customise the columns after creation.

List mapping - automating field updates on drop

When you create or edit a custom board, each list (column) can be mapped to:

  • A status - dropping a task into this list sets the task's status to the mapped value
  • A priority - sets the task's priority
  • Tags - adds the mapped tags to the task (merged with existing tags)
  • A CRM contact status - moves linked contacts through a CRM pipeline when you drag CRM tasks
  • A CRM company status - moves linked companies through a CRM pipeline when you drag CRM tasks

All mappings are optional. A list with no mapping simply moves the task into the column without changing any fields. A list can also combine mappings, so one drag can update the task's status, priority, tags, and linked CRM record when that matches your workflow.

Use list mapping to combine multiple field changes into one drag

Instead of dragging a task to change status, then editing it to change priority, then adding a tag - map all three to one list and do it in a single drop. This is especially powerful for workflow stages that imply a specific state (e.g., "Code Review" should mean status = In Review, priority = High, tag = #needs-review).

Map lists to CRM contact or company statuses for a live sales pipeline

lists can also be wired to a CRM contact status or company status. Drag a CRM task across the board and the linked record's status updates automatically - and changing a status anywhere else moves the card on its own. This is documented in full in Pipeline Boards. Built-in Sales Pipeline and Client Lifecycle templates ship pre-mapped, so picking one is the fastest way in.

CRM mappings do not replace the task's own status or priority. If a list is mapped only to a contact status or company status, the task still keeps and shows its task status and priority. Those task fields change only when you map the list to task status or task priority.

Mapping conflicts

If you switch to a custom board and some tasks don't match the board's current list mappings (because you changed the mappings after tasks were already in lists), PrimeTask shows a prompt asking whether to apply the new mapping to the affected tasks or leave them as-is.

Common questions

"I want a Kanban board but the default status columns don't match my workflow."

Create a Custom Kanban Board (Pro). Pick a built-in template that's close to what you want, or start with a Blank Board and add your own columns. See the Custom Kanban Boards section above.

"I dragged a task to a different column but the wrong field changed."

Check which grouping mode you're in. If you're grouping by Status, dragging changes the status. If you're grouping by Priority, dragging changes the priority. The grouping mode determines what field the columns represent.

"I want to see more (or less) detail on each card."

Change the card density - Compact for minimal, Cozy for balanced, Expanded for maximum detail. The density toggle is in the board toolbar.

"Can I use a Scrum board with sprints?"

Yes. Create a Custom Kanban Board from the Scrum Board template (Pro). It gives you Backlog → Sprint → In Progress → Code Review → Testing → Done columns. Map each list to the appropriate status so tasks update automatically as you drag them through the sprint flow.

"I want to save my custom board so I can use the same layout in another Space."

Click Save as Template on your board. The template captures the column structure and list names. In another Space, open the Board Management panel, go to Templates, and pick your saved template from the My Templates section.

"The board shows an 'Unassigned' column I don't want."

The Unassigned column appears when grouping by Project or Assignee and some tasks don't have that field set. You can't hide it - but you can use filters to show only tasks that have an assignee or a project, which removes the Unassigned column from view.

"Can I group by a custom field?"

Not directly on the board - standard grouping modes are Status, Priority, Project, Assignee, and Custom Lists. For grouping by a custom field, use List View which supports custom field grouping. Alternatively, create a Custom Kanban Board where the lists represent your custom field's values, then map each list to the appropriate status.
