List View

A sortable, groupable task table with configurable columns, inline editing, column aggregations, and full keyboard navigation.

List View is the most detailed way to work with your tasks. It presents tasks as rows in a table, with configurable columns for every field - status, priority, dates, assignees, tags, project, progress, time tracked, custom fields, and more. You can sort by any column, group into collapsible sections, edit fields inline without opening the task, resize and reorder columns, and see aggregated totals at the bottom of numeric columns.

List View is available on every PrimeTask license and is the default view when you first open the Tasks page.

How to open List View

  • Default: Open the Tasks page from the sidebar - List View is the default view.
  • View switcher: If you're in another view (Board, Calendar, Gantt), click the List option in the view switcher on the toolbar.

Things worth knowing

Configurable columns

Click the column settings button in the toolbar to choose which columns appear. Available columns include:

  • Task name (always visible)
  • Status and Priority - with inline dropdowns for quick changes
  • Due date and Start date - with inline date pickers
  • Project - which project the task belongs to
  • Assignees - who's responsible
  • Tags - labels attached to the task
  • Progress - completion percentage (auto-calculated or manual)
  • Duration - estimated time
  • Created date and Updated date
  • Custom fields - every custom field scoped to Tasks can appear as its own column. See Task Custom Fields.

Columns can be reordered (drag in the column settings) and resized (drag the border between column headers). Your layout is saved automatically and can be captured in a saved view. See Task Filters & Sorting.

Inline editing

You don't have to open a task to change its status, priority, or dates. Directly in each row:

  • Status - click to open a dropdown and pick a new status. Changes save instantly.
  • Priority - click to open a dropdown and pick a new priority.
  • Due date - click to open a date picker. Pick a date and it saves.
  • Start date - same as due date.
  • Assignees - click to open the assignee picker.

For deeper edits (description, subtasks, attachments, custom fields), click the task to open its Task Details Page.

Sorting

Click any column header to sort by that column. Click again to reverse the direction. You can sort by:

  • Task name (A–Z / Z–A)
  • Status (workflow order from your Space's configuration)
  • Priority (urgency order)
  • Due date / Start date / Created date / Updated date (ascending or descending)
  • Assignee count
  • Subtask count
  • Completion percentage
  • Custom field values (numeric, date, text - depends on field type)

Sort configuration is saved with your saved views.

Grouping

Click the Group control in the toolbar to organise tasks into collapsible sections:

  • Status - one section per status (To Do, In Progress, Done, etc.)
  • Priority - one section per priority level
  • Project - one section per project, plus an "Unassigned" section for tasks without a project
  • Task type - Personal, Project, CRM, Subtask
  • Due date - Overdue, Today, This Week, Later, No Date
  • Start date - Past, Today, This Week, Later, No Date
  • Assignee - one section per assigned person
  • Custom field - group by any dropdown or categorical custom field

Each group header shows a task count. Click a header to collapse or expand that group.

Column aggregations

For numeric and currency columns, you can enable aggregations at the bottom of each column - sum, average, minimum, maximum, or count. This is useful for seeing totals across filtered tasks (e.g., total estimated duration, average completion percentage, total currency value of a custom field).

Aggregations respect your current filters - if you're filtering to a specific project, the aggregation shows totals for that project only.

Drag to reorder

Hover a task row to reveal a drag handle, then drag the task to drop it between any two other rows. The list reflects the new order immediately and the change is saved with the task, so it's still there next time you open PrimeTask.

  • Multi-select drag - select several tasks first (Click the checkbox, Cmd/Ctrl + Click to add more, or Shift + Click for a range), then drag any selected row to move the whole group at once. The tasks keep their existing order relative to each other at the new position.
  • Subtasks - drag any subtask within its parent to change the order of children. Subtasks stay under their parent; they can't be dragged out of it from the List View.
  • CRM tasks - CRM tasks and their subtasks reorder the same way as regular tasks, and the order stays consistent between List View and the Project Tasks tab inside the project.

Dragging switches sorting to Manual

If you drag a task while the list is sorted by another field, PrimeTask switches the sort to Manual so your new position isn't immediately resorted. Pick any other sort option to leave Manual. See Task Filters & Sorting.

Subtask display

Tasks with subtasks show an expand control. Click it to see all subtasks nested below the parent, indented to show the hierarchy. Subtasks have their own status, priority, and progress - they're full tasks. The parent task shows a progress indicator based on how many subtasks are complete.

Pagination

Tasks are paginated. The page size is configurable and remembered across sessions.

Right-click context menu

Right-click any task row for quick actions:

  • Open - navigate to the task's Task Details Page
  • Edit - open the task editor
  • Copy Link - copy a primetask:// deep link for use in other apps. See External Integrations Settings.
  • Pin / Unpin - pin the task to the top of your list (root tasks only, not subtasks)
  • Mark Complete / Uncomplete - toggle completion
  • Duplicate - create a copy
  • Create Subtask - add a subtask under this task
  • Delete - remove the task (with confirmation)

Keyboard shortcuts speed up List View significantly

Arrow keys navigate between tasks, +Enter toggles complete, +D duplicates. For the full shortcut list, see Keyboard Shortcuts.

Common questions

"How do I change which columns are visible?"

Click the column settings button in the toolbar. Toggle columns on or off, and drag to reorder. Your configuration is saved automatically.

"Can I sort by a custom field?"

Yes - if you've added a custom field as a column, click its header to sort by it. Numeric, date, and text fields all support sorting.

"I want to see the total estimated time for my filtered tasks."

Enable column aggregations - click the aggregation control at the bottom of the Duration or any numeric column and pick Sum. The total reflects your current filters.

"I want to group by project and sort by priority within each group."

Set Group to Project and then click the Priority column header to sort. Grouping and sorting work together - each group is sorted independently.

"How do I select multiple tasks for bulk operations?"

Click a task's checkbox, then Cmd/Ctrl + Click to add more, or Shift + Click to select a range. A bulk action toolbar appears at the bottom. See Task Bulk Actions.

"Can I see subtasks listed under their parent?"

Yes - click the expand control on any task that has subtasks. They appear nested below with indentation showing the hierarchy.

"Does my custom drag order survive restarts?"

Yes. The order is saved with each task, so once you've dragged tasks into the arrangement you want, they stay that way the next time you open PrimeTask - including for CRM tasks and subtasks.
