Task Details Page

Everything about a single task in one place - edit every field, manage subtasks and checklists, track time, add attachments, set dependencies, and more.

The Task Details Page is where you go deep on a single task. It shows every field, every sub-feature, and every connection the task has - description, dates, assignees, tags, project link, subtasks, checklists, attachments, time tracking, custom fields, dependencies, CRM links, focus mode, and Apple ecosystem sync. Most fields auto-save the moment you change them; you don't need to hunt for a save button.

Click any task from any view - list, board, calendar, Gantt, dashboard, CRM, project - to open its detail page.

How to open a task's detail page

Things worth knowing

Most fields auto-save - one exception

Almost every field on the page saves automatically the moment you change it: status, priority, start date, due date, recurrence, assignees, tags, description, and custom fields all auto-save. No save button needed.

The one exception is the task name. Editing the name requires you to click an explicit Save button (or press Enter) to commit. This is intentional - the name is the most visible field and accidental edits would be disruptive.

Description auto-saves on blur

When you finish editing the description and click elsewhere, PrimeTask saves it automatically. You don't need to manually save - just move on.

Header actions

The top of every task detail page has quick action buttons:

  • Complete / Uncomplete - toggle the task between done and not done
  • Edit name - click to enter editing mode for the task name, then Save or press Enter to commit
  • Pop out - open this task in a separate window (desktop only - see below)
  • Fullscreen - enter fullscreen mode for distraction-free work on this task
  • Duplicate - create a copy of the task with all details. The copy gets a new name prefixed with "Copy of". CRM links and sync settings are cleared on the copy.
  • Delete - remove the task permanently (with confirmation)

For subtasks, the header also shows a link back to the parent task so you can navigate up the hierarchy.

Status and priority

Click the status or priority to change them from inline dropdowns. Both use the statuses and priorities configured for your Space - see Custom Statuses & Priorities and Category Management Settings. Changes save instantly.

Dates and recurrence

  • Start date - when the task should begin. Click to open a date picker.
  • Due date - when the task is due. Overdue tasks are clearly indicated. Click to open a date picker.
  • Recurrence - set the task to repeat on a schedule. The recurrence options appear alongside the due date picker. See Recurring Tasks.

All date changes auto-save. Dates are displayed in the format you've chosen in Date & Time Settings.

Assignees

Click the assignees area to open a picker where you can add or remove people. The picker shows contacts from your CRM. Multiple assignees are supported. See Contacts & Tasks for how assignees relate to CRM linking.

Tags

Click to open the tag picker. You can select existing tags or create new ones inline. Tags are managed across your Space from Category Management Settings.

Project link

The task can be linked to a project. Click the project field to change which project the task belongs to, or remove the project link entirely. You can also search for and select a project. See Projects Overview.

Description - rich text with embeds

The description field is a rich text editor supporting headings, bold/italic, lists (bullet and numbered), code blocks, blockquotes, links, and inline embeds for YouTube videos, Twitter/X posts, images, and web link previews. See Rich Text Editor.

Custom fields

Every custom field scoped to Tasks appears on the detail page. A compact row shows key field values inline below the description; click any field to open the full editing panel with all fields, organised by zone. See Task Custom Fields.

Subtasks and checklists

The detail page has two separate sections for breaking work down:

  • Subtasks - full nested tasks with their own status, priority, dates, and assignees. Add, edit, reorder (drag), complete, and click through to any subtask's own detail page.
  • Checklists - simple text + done/not-done toggle items. Add, edit, toggle, delete, with filter (all/pending/completed) and sort options.

Attachments and cover image

Upload files directly on the detail page. Supported types include images, documents, PDFs, videos, and more. You can also set a cover image for the task (upload, pick from Unsplash, or choose from your library). See Task Attachments.

Time tracking

A built-in timer lets you start, stop, and pause tracking directly from the task. You can also add manual time entries with durations and descriptions. The page shows your total tracked time and a history of all entries. Notes added during a timer session can be converted into subtasks. See Task Time Tracking.

Focus mode widget

Start a focus session (Pomodoro-style timer) directly from the task. The widget appears on the detail page and integrates with PrimeTask's broader Focus Mode system. See Task Focus Mode and Focus Mode.

Dependencies Pro

Mark this task as blocked by other tasks, or as blocking other tasks. The dependencies section shows every prerequisite, with click-through to each one. See Task Dependencies.

Connections Pro

If you've set up custom relationship fields, the Connections section shows outgoing links (this task links to other entities) and incoming backlinks (other entities link to this task). See CRM Connections & Backlinks and Custom Fields Overview.

CRM links

For CRM tasks (tasks linked to a contact or company), the detail page shows the linked contacts and companies with click-through to their Contact Details and Company Details pages. See CRM Tasks.

Apple Calendar and Reminders sync

Per-task toggles let you push this specific task to Apple Calendar or Apple Reminders (macOS only). The toggles appear only if the matching integration is set up in Integrations Settings. Enabling sync on a recurring task prompts you to confirm how the recurrence should be handled.

Reminders sync is not available for subtasks

Due to a limitation of the Apple Reminders system, subtasks can't be synced to Reminders. The toggle is disabled on subtask detail pages. Apple Calendar sync works for both root tasks and subtasks.

Progress tracking

The detail page shows a progress indicator that can work in two modes:

  • Auto-calculated (default) - progress is computed from the completion of subtasks and checklist items. If 3 of 5 items are done, progress shows 60%.
  • Manual - you set the progress yourself by adjusting a slider. Use this when progress doesn't map neatly to subtask/checklist completion (e.g., a writing task that's "halfway done").

You can switch between auto and manual at any time. Manual progress shows a "manual" label so you know it's an override.

Pop out to a separate window

Click the Pop Out button in the header to open this task in its own standalone window. This is useful when you want to reference one task's details while working on something else in the main PrimeTask window. The pop-out window has the same features as the main detail page, with one restriction: navigation to CRM or project pages from inside the pop-out is limited to prevent confusion about which window you're in.

Hide the task header

Press H while on a task detail page and the header - back button, action buttons, status, priority, dates row - folds away so the description, subtasks, attachments, and time tracking get the full page. Press H again to bring the header back. The state isn't persisted; opening any other task starts with the header visible. The shortcut is suppressed while you're typing in any input.

H toggles the header on every page that has one

Same shortcut works on the Dashboard, Task list, Calendar, Gantt, and PrimeFlow.

Keyboard shortcuts work on the detail page

The most useful: +Enter toggles complete, ++P pops out to a new window, H hides or shows the task header, Escape goes back. For the full list, see Keyboard Shortcuts.

Subtask-specific behavior

When you open a subtask's detail page, a few things are different:

  • The header shows a parent task link so you can navigate up to the parent
  • Apple Reminders sync is disabled (Apple Reminders doesn't support nested items)
  • Everything else works identically to a root task

Common questions

"I edited the description but it didn't save."

It did - the description auto-saves when you click outside the editor. There's no save button for the description. If you navigated away immediately, give it a moment - the save fires on blur.

"I changed the task name but it reverted."

The task name is the one field that requires an explicit save. Click the Save button next to the name (or press Enter) to commit your change. If you click away without saving, the name reverts to the original.

"How do I track how long I spent on this task?"

Click the timer section on the detail page. Start begins tracking; Stop saves a time entry. You can also add time manually with a duration and description. See Task Time Tracking.

"I want to see this task in a separate window while I work on something else."

Click the Pop Out button in the header (or press ++P). The task opens in its own window.

"I duplicated a task but the CRM links didn't copy."

That's intentional. Duplicate clears CRM links and sync settings because the copy is a new task that shouldn't inherit active integrations or CRM entity connections from the original. Add them back manually if needed.

"How do I know if a task is auto-saving or not?"

Almost everything auto-saves. The only exceptions are: the task name (explicit save button) and manual progress (explicit save button). If you don't see a save button next to what you're editing, it's already saving.

"Can I open the task detail page from a keyboard shortcut?"

Press +K, type the task name, and select it from the results. From within a task list, you can also press Enter on the selected task.

"How do I hide the task header to get more room?"

Press H while on the task detail page. The header collapses and the description, subtasks, attachments, and time tracking expand to fill the page. Press H again to bring the header back. See Keyboard Shortcuts.
