PrimeFlow Action Toolbar
Use the PrimeFlow Action Toolbar to update tasks, projects, contacts, companies, and activities directly from the canvas.
The PrimeFlow Action Toolbar appears when you select supported record-based nodes. It lets you act on the real work item without leaving the canvas first.
Use it when you want to change task status, add a checklist, add a subtask, open a project, add a project task, log CRM activity, link CRM records, or jump to a full detail page.
The Action Toolbar works with real records
Toolbar actions update the linked task, project, contact, company, or activity. If you only want to change the canvas item, use the right-click menu instead.
What you can do
Update a task from PrimeFlow
change status or priority, manage checklist items, add a subtask, open task details, or delete the task.
Work from a project node
open or edit the project, add a project task, continue to project goals, milestones, or notes, or remove the node from the canvas.
Act on CRM contact nodes
view or edit the contact, log an activity, add a CRM task, link a company, or delete the contact.
Act on CRM company nodes
view or edit the company, log an activity, add a CRM task, link contacts, add company relationships, or delete the company.
Act on CRM activity nodes
open the related tracker, edit the activity, log another activity, open linked records, view all activities, or delete the activity.
Move between canvas work and full records
use the toolbar to jump from a visual map to the full task, project, or CRM page.

Use the Action Toolbar when you want to update the linked record. Use PrimeFlow Right-Click Menus for node appearance overrides, duplicate, delete-from-canvas actions, connection actions, sticky note tools, and FlowMode Journey actions.
How to open the Action Toolbar
Step 1
Open PrimeFlow.
Step 2
Open or create a canvas.
Step 3
Add or select one of these supported nodes: - Task - Project - Contact - Company - Activity
Step 4
Click the node.
Step 5
Choose the action you need from the Action Toolbar.
Use the toolbar's close action when you are finished.

Supported node types are different by tier
Task and Project node actions are available on every PrimeTask license. Contact, Company, and Activity nodes are Advanced CRM nodes and require Pro. See License Settings to review your current license or upgrade.
Task node actions
Click a task node to open task actions.
The task Action Toolbar can include:
- Status - change the task's current status.
- Priority - change the task's priority.
- Checklist - open the task checklist so you can add, edit, complete, or review checklist items.
- Add Subtask - create a subtask under the selected task.
- Fields - edit task custom fields when Custom Fields are set up for the task's Space.
- Open Task - go to the task's full detail page.
- More Options - open the full task editor.
- Delete - delete the task and remove its node from the canvas.
The task node itself can also show expandable sections for subtasks, checklist items, attachments, and embedded media. Those expansions are covered in PrimeFlow Task Nodes and PrimeFlow Task Expansion Nodes.
Task toolbar changes update the task
Status, priority, checklist, subtask, custom field, and delete actions affect the actual task, not just the visual node.
Custom Fields from task nodes
The Fields action belongs to Custom Fields.
Custom Fields require Pro. See License Settings for upgrade information, and see Task Custom Fields for the task-side guide.
Project node actions
Click a project node to open project actions.
The project Action Toolbar can include:
- Task - create a task for the selected project.
- Goal - continue to the project's Goals area.
- Milestone - continue to the project's Milestones area.
- Note - continue to the project's Notes area.
- Open Project - open the project detail page.
- Edit - edit the project.
- Remove from Canvas - remove the project node from the canvas.
Project nodes are larger relationship anchors in PrimeFlow. They can expand related tasks, goals, milestones, notes, contacts, and companies from the project map.
Removing a project node is not the same as deleting a project
Remove from Canvas removes the visual node and its canvas connections. It does not delete the project record.

Contact node actions
Contact nodes are Advanced CRM nodes and require Pro.
Click a contact node to open contact actions.
The contact Action Toolbar can include:
- View Contact - open the contact detail page.
- Edit - edit the contact.
- Log Activity - record a CRM activity for the contact.
- Add Task - create a CRM task linked to the contact.
- Link Company - connect the contact to a company.
- Delete - delete the contact.
Deleting a contact is a record action
Delete removes the contact record and associated activity history. Use it only when you intend to delete the CRM record, not just remove a visual node.

Company node actions
Company nodes are Advanced CRM nodes and require Pro.
Click a company node to open company actions.
The company Action Toolbar can include:
- View Company - open the company detail page.
- Edit - edit the company.
- Log Activity - record a CRM activity for the company.
- Add Task - create a CRM task linked to the company.
- Link Contact - connect a contact to the company.
- Add Relation - add a relationship between this company and another company.
- Delete - delete the company.
Deleting a company is a record action
Delete removes the company record and associated activity history. Use it only when you intend to delete the CRM record, not just remove a visual node.

Activity node actions
Activity nodes are Advanced CRM nodes and require Pro.
Click an activity node to open activity actions.
The activity Action Toolbar can include:
- View Activity - open the activity's relevant CRM tracker when available.
- Edit - edit the activity.
- Log Activity - record another CRM activity.
- View Contact - open the linked contact when the activity has one.
- View Company - open the linked company when the activity has one.
- All Activities - open the CRM activity list.
- Delete - delete the activity.

Action Toolbar vs right-click menus
The Action Toolbar and right-click menus solve different problems.
Use the Action Toolbar when you want to update or open the linked record:
- Task status, priority, checklist, subtasks, fields, and task details
- Project tasks, project editing, and project pages
- CRM record editing, activity logging, relationship linking, and CRM pages
Use right-click menus when you want to work with the canvas item:
- Duplicate a node
- Change a node appearance override
- Delete a canvas node
- Add a node at a specific canvas spot
- Work with sticky note tools
- Change connection settings
- Add or remove nodes from a FlowMode Journey

Common questions
"Does the Action Toolbar change the real task or project?"
Yes. Task actions update the real task. Project actions open or edit the real project, and adding a project task creates a task connected to that project.
"Can I remove a project from the canvas without deleting it?"
Yes. Use Remove from Canvas on a project node. The project record remains available in Projects.
"Can I remove a task node without deleting the task?"
Use the node right-click menu when you want canvas-only actions. The task toolbar's Delete action deletes the task record.
"Why do CRM actions require Pro?"
The feature matrix lists Advanced CRM nodes as Pro. Contact, Company, and Activity node actions rely on those CRM nodes. See License Settings for upgrade information.
"Why do I not see every action on every node?"
The Action Toolbar is based on the selected node type and the linked record. For example, activity nodes show linked contact or company actions only when the activity has those links.
