Tracked Time in PrimeFlow

See how much time you have spent on every task and group right on the PrimeFlow canvas, with a hover preview that breaks down recent activity and sources.

PrimeFlow now shows tracked time directly on the canvas. Every task that has been timed or worked on in Focus Mode displays a small time badge. Drop tasks into a group and the group shows the combined total. On Pro, projects on the canvas show a rollup of every task inside them with a top tasks list, so you can see where your hours actually went without leaving PrimeFlow. Hover any badge to open a preview with totals for the last 7 and 30 days, a split between timer time and focus time, and when you last worked on it.

This turns the canvas from a layout tool into a working surface that reflects where your hours have actually gone. It is especially useful when planning, reviewing a week, or showing where the work landed for a client or project area.

, Task and group badges are on every license

Task badges and group totals on PrimeFlow are available on every PrimeTask license. The built-in task timer and Focus Mode sessions feed those totals.

, Project totals on the canvas require Pro

Project cards on PrimeFlow show their combined tracked time as a Pro feature. Pro users also see a top tasks list inside the hover preview showing which tasks took the most time. To use it, upgrade from License Settings.

, Use groups as totals

Drop the tasks you want to summarise into a group. The group badge sums them automatically and the hover preview shows the same breakdown you get for a single task.

How to find time badges

Time badges appear automatically on the canvas when a task or group has any tracked time. There is nothing to enable for individual tasks. You only need to make sure badges are turned on for the canvas.

Once a task has tracked time, its badge appears on the canvas the next time you open it.

Turn time badges on or off

Time badges are controlled by a single Canvas Setting that applies to the active canvas in your space.

When the setting is on, badges appear on every task and group that has tracked time. When it is off, all badges hide together. See PrimeFlow Settings for the full settings guide.

New canvases start with time badges turned on so you see your work surface light up as you track time. Turn it off any time the canvas is feeling busy.

Task badges

A task badge appears on a task on the canvas when there is any tracked time for that task. It shows the total time as a short label such as 45m, 2h 30m, or 1h 5m.

The total combines two sources:

  • Task timer sessions started from the task detail page, the task card timer button, automations, or AI agents. See Task Time Tracking.
  • Focus Mode sessions you completed against the task. See Task Focus Mode and Focus Mode.

Each task carries its own time. A parent task only shows the time you tracked against that task directly. Subtasks have their own badges when expanded on the canvas, with the subtask's own total. This keeps every task's number honest and ready for billable work later, where mixing rates across tasks would be confusing.

, Subtasks expand to show their own badges

When you expand a task on the canvas to reveal its subtasks, each subtask card gets its own badge. The parent badge does not silently roll up subtask time into itself.

Group badges

When tasks are placed inside a PrimeFlow group, the group shows a combined badge with the total tracked time across every task in that group.

The group badge:

  • Adds up the time for every task that lives directly inside the group.
  • Updates as you drag tasks in or out. The number changes the moment you change the membership.
  • Ignores other items. A group can contain contacts, companies, notes, files, and other items, and the time badge counts only the tasks.
  • Carries the group's identity colour through the hover preview so the source group is obvious when more than one is on screen.
  • Hides itself when the group is empty or when none of its tasks have tracked time.

This is the fastest way to ask "how much time has this phase taken" or "how much time did the client get this month" without opening reports.

, Drag freely in and out

A task joins the group when you drop it inside the group area, and leaves the group when you drag it past the group edge. The group total adjusts automatically. See PrimeFlow Groups.

Project totals on the canvas

Project cards on PrimeFlow show a rollup of the tracked time across every task inside the project. This is a Pro feature.

The project badge:

  • Adds up the time for every task and subtask that belongs to the project, so the number matches the project's own time metrics figure exactly.
  • Sits at the corner of the project card, out of the way of the project's header image or colour.
  • Hovers to open an expanded preview with the same recency and sources sections as task badges, plus two Pro-only additions:

- A subtitle showing how many of the project's tasks have any recorded time (for example, "on 9 of 15 tasks tracked"). - A top tasks list showing the three tasks with the most tracked time in this project, so you can see where the hours actually went without opening reports.

  • Follows the same on-off switch as task and group badges, using Show Time Badges in Canvas Settings.
  • Hides itself on projects that have no tracked time yet.

This is the quickest way to answer "how much time have we spent on this client" or "which tasks ate the day" from anywhere on your canvas.

Project canvas totals and the top tasks list are Pro features. Task badges and group totals stay available on every license. To use the project rollup, upgrade from License Settings.

The hover preview

Hover any task, group, or project badge to open a detailed breakdown.

The preview shows:

  • Tracked Time label with the source name underneath (the task, group, or project name).
  • Total tracked time as the headline number.
  • Across N sessions counting the timer sessions and focus sessions that fed the total. On project badges, this line also shows how many of the project's tasks have recorded time.
  • Last 7 days and Last 30 days with the value and a small bar showing how much of the total falls inside each window.
  • Sources split between timer and focus, with the share each one contributed and the session count for each.
  • Top tasks with the three biggest contributors by tracked time. Project badges only, on Pro.
  • Last session with how long ago it was and which type (timer or focus).

The preview opens beside the badge and stays out of the way of canvas movement. It closes as soon as you move the mouse away.

Overdue and approaching due dates

PrimeFlow now also highlights when a task's due date is overdue or close.

  • Overdue. Once the due date has passed, the date row turns red so it stands out across the canvas at a glance.
  • Approaching. If the due date is within the next three days, the date row turns amber to give you a heads-up.
  • Complete tasks stay calm. When a task is in a complete status, the colour cue is suppressed so finished work does not shout for attention.

This applies to every task on the canvas, including grouped tasks.

, Date colours follow the same urgency rules used in views

PrimeFlow uses the same overdue and warning thresholds you see in List View and Gantt View, so a task that reads as urgent in one place reads the same on the canvas.

Things worth knowing

One canvas, one toggle

The Show Time Badges option applies to the active canvas in your active Space. Switch to another canvas or Space and review the setting there if you want consistent behaviour across both.

Time tracking and PrimeFlow are independent

PrimeFlow badges only show what is already tracked elsewhere. They do not start, stop, or change time entries. To start or stop tracking, open the task and use the timer, run a focus session, or let an automation do it for you. See Task Time Tracking.

Per-task data, group totals are sums

A task's badge shows that task's own time. A group's badge sums the tasks it contains. If you want subtask time inside a group total, drag the subtask into the group too. This keeps the numbers easy to verify and makes future billable rollups predictable.

Want automatic time capture, not manual start and stop

The task timer and Focus Mode require you to start and stop the clock. Pro users can turn on PrimeTime to capture working time automatically and roll everything up into a Space-wide timesheet. See PrimeTime and Time Report.

Project totals show on the canvas too on Pro

Pro users see project totals right on their PrimeFlow projects, with a top tasks list inside the hover preview. The number always matches the one you see on the project's own metrics tab, so the two never disagree.

CRM task time still flows into CRM

Time tracked on a CRM-linked task is reflected in the CRM record as usual. The PrimeFlow badge is one more place where that time shows up.

Common questions

"Why does a task have no badge?"

The task either has no tracked time yet, or Show Time Badges is off for the active canvas. Open Canvas Settings and confirm the setting is on, then track time using the task timer or a focus session.

"Does the parent task show its subtasks' time?"

No. The parent badge shows only the parent task's own time. Expand the task on the canvas to see each subtask's badge. To total a group of related tasks together, place them inside a PrimeFlow group.

"What does the group total include?"

Every task that lives directly inside the group. Items that are not tasks (contacts, companies, notes, files, media) are ignored. Subtasks count only when they are inside the group themselves.

"Do I need Pro to see time on the canvas?"

Task badges and group totals are on every PrimeTask license. The timer and Focus Mode are both available on every license too. Project totals right on the canvas (with the top tasks list) are a Pro feature. Upgrade from License Settings.

"What does the top tasks list show?"

The three tasks inside a project with the most tracked time, ordered from highest to lowest. Hover a project badge to see it. This helps you answer "where did the hours actually go" without leaving the canvas. Available on Pro.

"How do I get more detailed time analytics?"

For per-project breakdowns and CSV export, open the project or the Time Report. For automatic capture of your working time, use PrimeTime. Both are part of Pro.

"Can I hide a single task's badge without hiding all of them?"

Not currently. Show Time Badges is a canvas-wide toggle. If a single task's badge is distracting, you can also keep the canvas clean by archiving or moving the task off the canvas.

"What counts as overdue?"

Tasks with a due date that has passed and that are not in a complete status. Tasks set as date-only (no specific time) become overdue after the end of the day, not at midnight.
