PrimeFlow Overview

Use PrimeFlow to map projects, goals, milestones, tasks, notes, files, contacts, and references as one connected workspace.

PrimeFlow is PrimeTask's visual workspace for connected work. Use it when a project is easier to understand as a system: goals connected to milestones, milestones connected to tasks, tasks supported by notes, files, contacts, and reference material.

Instead of treating work as separate lists, PrimeFlow lets you place related items on a canvas and connect them. This makes it easier to see what belongs together, what supports what, and where the next action fits.

This article is the PrimeFlow hub. Use it to understand what PrimeFlow is for, then follow the linked guides for detailed steps.

PrimeFlow follows the active Space

Canvases are tied to the Space you are working in. Switching Spaces changes the canvases and work items available in PrimeFlow.

Start with the outcome

Use PrimeFlow when seeing the relationship matters more than reading a list. If you only need to edit one task, open the task. If you need to understand how several things depend on each other, use PrimeFlow.

How to open PrimeFlow

  • Navigation: Open PrimeFlow from the main navigation.
  • Command palette: Press +K (or Ctrl+K) and search for PrimeFlow.
  • Keyboard shortcuts: Once PrimeFlow is open, press Cmd + Shift + / (or Ctrl + Shift + /) to open the PrimeFlow help panel.

Core workflow

Create or open a canvas

Open PrimeFlow, then use the canvas actions to create a new canvas, open a saved canvas, save the current canvas, or save a copy with a new name. Each Space keeps its own canvas library.

Add nodes

Add nodes from the Node Library, the right-click menu, keyboard shortcuts, paste actions, or selector windows for existing tasks, projects, contacts, companies, and activities.

PrimeFlow supports both new canvas-only items and existing PrimeTask records. For example, a task node represents a real task, while a sticky note can be used just for canvas thinking.

Nodes can represent different kinds of work

Some nodes are visual notes, some point to existing PrimeTask records, and some hold reference material. The detailed node articles explain which is which.

Connect related items

Connect nodes when one item supports, explains, depends on, or belongs with another. Connections can be adjusted later with comments, relationship labels, line type, thickness, and movement settings.

Review, filter, and present

Use search and filters to find specific nodes, auto layout to tidy a large canvas, and FlowMode to turn selected nodes into a guided journey.

Export or share the result

Use export when you need an image of the current canvas for a report, meeting, or reference. PrimeFlow export supports PNG, WebP, and JPEG, with quality, background, title, metadata, watermark, and logo options.

PrimeFlow includes features available on every PrimeTask license and features that require Pro. File, Folder, PDF, External App, CRM, Portal, Cross-Space Portal, FlowMode, and Mermaid-related capabilities require Pro. See PrimeFlow Standard and Pro.

Things worth knowing

PrimeFlow is for connected work

PrimeFlow is strongest when you want to understand how things relate. Use it for project systems, planning maps, stakeholder maps, research boards, delivery paths, and meeting walkthroughs.

Canvases are saved separately

You can keep more than one canvas in a Space. For example, one Space might have a product roadmap canvas, a client delivery canvas, and a research canvas.

Some nodes open deeper PrimeTask records

Task, project, contact, company, and activity nodes can connect the visual map back to the underlying record. This lets the canvas stay useful while the real work continues in Tasks, Projects, and CRM.

Media belongs near the work it supports

PrimeFlow can keep reference material beside the plan: images, YouTube videos, X posts, links, PDFs, audio, video, and files. The shared media player and Picture-in-Picture behavior are covered in the media player guide during the Getting Started rewrite.

Keep the canvas purposeful

A useful PrimeFlow canvas does not need every detail. Add the items that explain the relationship, then link out to the detailed task, project, contact, or document when needed.

Common questions

"Is PrimeFlow a task list?"

No. PrimeFlow can show tasks, but it is not only a task list. It is a visual workspace for mapping how work connects.

"Can I use PrimeFlow without Pro?"

Yes. PrimeFlow includes standard canvas features, unlimited canvases, the searchable node library, templates, theme presets, undo and redo, auto layout, export, task nodes, project nodes, notes, media nodes, mind maps, groups, paste actions, project relationship mapping, and node shortcuts. Some advanced node families and presentation features require Pro.

"Can I use PrimeFlow for projects?"

Yes. PrimeFlow can map projects, goals, milestones, tasks, project notes, and related records. For detailed project behavior, see PrimeFlow Project Nodes. For task behavior, see PrimeFlow Task Nodes.

"Can AI agents update PrimeFlow canvases?"

Yes, when MCP is enabled and the relevant MCP categories are available. MCP can list canvases, read a canvas, create or rename canvases, add or update nodes, add or remove connections, and apply bulk canvas changes. See PrimeFlow and MCP.
